1. Who we are and what this policy covers
SeniorLivingPROS ("we," "us," "our") provides marketing, SEO, AI search visibility, and lead response services to senior living operators. This policy covers seniorlivingpros.com (the "Site"), our mobile applications (the "App"), and related tools such as the Free AI Visibility Audit and our booking calendar (together, the "Services").
2. Information we collect
Contact information: name, email address, phone number, job title, and organization or community name.
Business information: community website, city and state, care types offered, and messages you send us.
Account information (App): if you create an account, your login email and account settings.
Usage and diagnostic data: IP address, device and browser type, operating system, app version, pages or screens viewed, crash logs, and timestamps.
Public information: publicly available details about your community, such as your website and how AI assistants and search engines describe it.
We do not collect precise location, contacts, photos, health data, financial or payment card data, or biometric data through the App.
3. How we collect information
- Directly from you when you fill out a form, book a call, create an account, or contact us.
- Automatically through cookies, server logs, and similar technologies when you use the Services.
- From public sources, such as websites and AI and search engine results, when we run an audit you request.
4. How we use information
- To provide the Services, including running and emailing the audits you request.
- To schedule and manage strategy calls and respond to inquiries.
- To send service-related messages and, with your permission, marketing about our services.
- To operate, secure, troubleshoot, and improve the Services.
- To comply with legal obligations and enforce our terms.
5. Tracking and advertising
We do not sell your personal information, and we do not use data from the App to track you across other companies' apps or websites for advertising. We do not share App data with data brokers.
6. Third parties we share information with
We share information only with service providers that help us deliver the Services, including:
- Cloud hosting and database providers, to store and run the Services.
- Email delivery providers, to send reports and messages.
- Our scheduling and CRM platform (GoHighLevel), to manage bookings and follow-up.
- AI and search providers (such as OpenAI, Google, and Perplexity), to generate audit results. We send them your community's name and location, not your personal contact details.
These providers are contractually required to use the information only to perform services for us and to protect it with safeguards at least as protective as those described in this policy. We may also disclose information if required by law, to protect rights or safety, or as part of a merger, acquisition, or sale of assets.
7. Data retention
We keep personal information only as long as needed for the purposes in this policy. Audit results and lead records are kept for up to 3 years after your last interaction with us, unless you ask us to delete them sooner or the law requires us to keep them longer. Account data is kept while your account is active and deleted within 30 days after you delete your account.
8. Deleting your data and your account
You can request deletion of your personal information or your account at any time by emailing hello@seniorlivingpros.com with the subject "Data deletion request." If the App offers account deletion in its settings, you can also delete your account there. We will confirm and complete deletion within 30 days, except for information we must keep for legal reasons.
9. Withdrawing consent and your rights
You can withdraw consent at any time: unsubscribe using the link in any marketing email, disable cookies in your browser, or contact us to stop any processing that relies on your consent. Withdrawing consent does not affect processing that already happened.
Depending on where you live (including California, Colorado, Virginia, the EU, and the UK), you may have the right to access, correct, delete, or receive a copy of your information, and to object to or limit certain uses. We will not discriminate against you for exercising these rights. Email us to make a request.
10. Security
We use reasonable safeguards, including encrypted connections (HTTPS), access controls, and restricted internal access, to protect information. No method of transmission or storage is completely secure.
11. Health information
The Services are intended for senior living operators and marketing professionals. Please do not submit resident health information or other protected health information.
12. Children's privacy
The Services are not directed to children under 13 (or under 16 where required), and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.
13. International users
We are based in the United States, and information may be processed in the United States, where laws may differ from those in your country.
14. Changes to this policy
We may update this policy from time to time. We will revise the "Last updated" date and, for significant changes, notify you by email or in the App.
